Email Policies
Email is considered a State Public Record and therefore is subject to the State Public Records Act (RCW 42.17.250 et seq.) See
UW-GS5 for more information. In particular, if requested by a member of the public, email must be transmitted to the UW Public Records Office for review and possible release.
Email Client and Web Broswer Recommendations
We recommend using
Thunderbird (aka mozilla-thunderbird) for your email client since it runs under Linux, Mac OS X and Windows. We recommend using
Firefox for your web browser since it also runs under Linux, Mac OS X, and Windows.
Mail Forwarding and Vacation Email Auto-reply
You can enable, change, and disable Email forwarding and vacation messages by going to
http://www.atmos.washington.edu/account.
Note: Due to the way we have configured the Email server, you cannot set up Email forwarding and vacation messages by changing the ".forward" file in your home directory or by using the
vacation command. You must set forwarding and vacation messages up via
http://www.atmos.washington.edu/account.
May 1, 2008 end of mail hosting
As of May 1, 2008 the department will no longer be hosting user's e-mail, both their incoming mailbox and their folders. Users will have to forward their mail either to the University's e-mail system using their
UW NetID (@washington.edu also known as @u.washington.edu), or to another e-mail service like gmail. Users can change their e-mail forwarding using
http://www.atmos.washington.edu/account. We will maintain our e-mail server to do forwarding, so you can still use your @atmos.washington.edu e-mail address if you wish. We also will continue to provide departmental mailing lists.
Move your email to the your .u account
Follow the instructions for your mailer located at
http://www.washington.edu/computing/email/programs.html
except if you want to continue using your .atmos address as the return address do not set "Email Address" to your_uwnetid@u.washington.edu. The central computing smtp server will send mail with the From set to your_username@atmos.washington.edu. If you are using Thunderbird or Mac Mail you can drag both messages and folders across from the atmos account to the .u account the same way as if using gmail. To have your mail automatically go to your .u account go to
http://www.atmos.washington.edu/account and set your forwarding. Note that the ".u" is optional, you can also use your_uwnetid@washington.edu if you wish.
Move your email to gmail and still use Thunderbird
Gmail now supports imap, the same protocol that we have been using here. To see how to set up an account in thunderbird to access your gmail go
here. To do the same thing in Mac mail go
here. Once you have done that you can then make new folders in your gmail account and drag messages, or even whole folders over. Once messages are on gmail, you can use all the google search and organization features on them. To have your mail automatically go to your gmail account go to
http://www.atmos.washington.edu/account and set your forwarding.
Set your gmail "From" to be your atmos account
Go to your gmail account (log in on the web interface). click on Settings in the upper right part of the window. Select accounts. You will then see a section called "Send mail as:" Click on "Add another email address" and follow the instructions. Then in thunderbird go to account settings and make sure your email address is listed correctly.
Move your mail and still use local PINE
After setting up your forwarding
Edit your .pinerc and put:
inbox-path={UWNetId.deskmail.washington.edu/ssl/user=UWNetId}inbox
folder-collections={UWNetId.deskmail.washington.edu/ssl}mail/[],mail/[]
smtp-server=smtp.washington.edu:587/tls/user=UWNetId
where
UWNetId is your uwnetid
Then in pine go to the setup menu and turn on enable-aggregate-command-set.
For each folder you want to move, view the folder's index.
Press ;(Semi-Colon)
At the prompt press A to select all messages
press A again to apply a command
Press S to save the messages
either press N to go to the "next collection" or just go to your folder area on uwnetid.deskmail.washington.edu
at the SAVE to folder prompt enter the name of the folder into which you want to put the messages. If the folder does not exist, pine will ask if you want to create it. Answer Y.
Return to the local folder list and delete the folder whos contents you just moved.
When you are finished change
folder-collections=mail/[], {uwnetid.deskmail.washington.edu/ssl}mail/[]
to
folder-collections={uwnetid.deskmail.washington.edu/ssl}mail/[]
